Position Description: 

The Executive Assistant will provide administrative support for the CEO. In addition, they will be responsible for the daily operations of the office including database management, clerical duties, and equipment operations and maintenance.

The Administrative Assistant reports directly to the President/CEO and must be prepared to take direction from the Chief Membership Officer (CMO), Chief Services Officer (CSO) & the Chief financial Officer (CFO). The Executive Assistant will generally work 8:00am to 4:30pm (40 hour work week plus half hour unpaid lunches).

Position Requirements: 
  • High school diploma or equivalent
  • A minimum of 2 years administrative experience
  • Ability to type 50 WPM with limited errors
  • Must be able to uphold the confidentiality of sensitive information
  • Extreme detail orientation required and follow-up skills a must
  • Excellent written and verbal communications skills
  • Proficiency in MS Office Suite including: Word, Power Point, Outlook and Excel
  • Professional manner to deal courteously and effectively with members, consumers, vendors, and staff
  • Must have an enthusiastic, service-oriented attitude
  • Ability to operate a variety of office equipment
  • Ability to work without close supervision and demonstrates professionalism and exceptional judgment
  • Experience with database management
  • Excellent organizational skills and the ability to handle multiple tasks efficiently
  • Proven time management skills with the ability to prioritize and handle multiple tasks
  • Ability to be a strong team playerMust have transportation
  • Perform other duties and errands as assigned
Position Responsibilities: 

CEO

  • Maintain confidentiality of restricted documents
  • Provide high-quality written communication.
  • Correct, edit, rephrase and provide punctuation as necessary to documents to ensure that the final copy conveys the intended meaning and is correct in detail
  • Maintain calendars, provide reminders of scheduled appointments and coordinate meetings as requested
  • Coordinates travel reservations and accommodations
  • Handle routine correspondence, including incoming and outgoing mail, making copies, distributing reports and answering vendors and other credit union requests
  • Prepare and/or compose memos, spreadsheets and presentations as needed
  • Assembly and distribution of materials for the Board of Director meetings. Perform word processing related to the package
  • Coordinate and arrange internal and external meetings as requested, facilitate telephone conference needs and refreshment requirements
  • Provide a broad range of executive-level administrative support to senior managers, including scheduling

Office Management

  • Assist with general office management; and equipment, oversee kitchen and catering needs
  • Manage all courier services, process mail and incoming fax documents, photocopying
  • Meet and greet vendors and credit union members on a daily basis
  • Proactively meet needs for materials, equipment, catering, conference rooms and other logistical details as it relates to MDDCCUA sponsored meetings and provide set-up(Accounting Assistant) (Accounting Assistant)
  • Assist staff with special projects

Database Management

  • Update and maintain MDDCCUA's database ensuring that the files contain the most recent information available
  • Generate reports and spreadsheets from database as requested by CMO or executive management team

Annual Meeting Responsibilities

  • Assist with mailings to credit unions and vendors
  • Assist with the organization of the convention registration desk and events as identified
  • Assist with convention registrations and ticket orders, preparing necessary materials and badges for attendees, and preparing reports for staff, board and attendees
